How to Prepare a Bulk Botanical RFQ
By the AYUSH LIFE ELEMENTS team · Updated 20 Oct 2026
What to include in a request for quotation so suppliers can respond accurately and quickly.
A well-prepared request for quotation (RFQ) saves time on both sides and produces quotations you can compare directly.
Information to include
- Product: common name, botanical name if known, and plant part.
- Form: whole, cut, sliced or powder; mesh size for powders.
- Quantity: the volume for this order and, if known, expected repeat volumes, with units (kg or metric tonnes).
- Specification: any physical or test parameters your team requires.
- Documentation: for example a batch-specific COA or other documents needed for your market.
- Packaging: pack type, pack size and labelling.
- Delivery: delivery city or destination country, and your preferred timeline.
- Samples: whether you need a sample before ordering.
Be clear about what is essential
Mark which requirements are mandatory and which are preferences. This helps the supplier propose alternatives where a preference is difficult to meet.
Expect follow-up questions
A careful supplier may come back with questions before quoting. That is usually a good sign: it means they are checking whether they can meet your requirement rather than quoting blindly.
You can use our Request a Quote form, which is structured around these points.
